Housing, SSN, ITIN, and rental readiness

Practical guidance

Employees arriving from China may have no U.S. credit history, rental history, or domestic bank account. That does not automatically prevent approval, but the housing provider must decide which alternative documents it will accept. Employers and relocation coordinators should obtain the property's written criteria before promising a unit or move-in date.

  • Employee documents: passport, immigration and work-authorization records, U.S. contact information, employment or assignment letter, income verification, expected move-in date, and occupant details.
  • Corporate lease documents: the housing provider may request company formation, signer authority, payment, guaranty, or insurance information.
  • SSN: eligible noncitizens generally apply under Social Security Administration rules and may need an I-94, admission stamp, or employment authorization evidence.
  • ITIN: an IRS tax-processing number for people who need a federal taxpayer identification number but are not eligible for an SSN. It does not authorize employment and is not a substitute when an SSN is required.

Plan for temporary lodging, application charges, security deposits, first month's rent, and an approved payment method. If the employee does not yet have a U.S. bank account, confirm whether the property accepts a cashier's check, money order, verified company payment, or another method. Independently verify all payment instructions through the property's published contact information to reduce fraud risk.

Choose housing from the actual worksite and shift schedule

Practical guidance

Reno and Sparks are adjacent, but they are not interchangeable for commute planning. Interstate 80 connects both cities with employment areas to the east. For employees assigned near the Tahoe-Reno Industrial Center or Tesla Gigafactory Nevada, Sparks may be a practical housing area to investigate. Tesla is used only as a geographic employment reference; no affiliation or endorsement is implied.

Start with the exact worksite address, shift start and end times, parking rules, and employer transportation. Compare real drive routes—not ZIP codes or straight-line distance. Sparks Marina, Spanish Springs, and other Reno-Sparks residential areas offer different access, housing types, rents, and transit coverage. Winter weather, traffic incidents, and overnight shifts can materially change the commute.

Public transit, foreign licenses, and temporary car rental

Practical guidance

Reno-Sparks transit is more limited than transit in major Chinese cities. RTC provides fixed-route buses, RAPID service, and FlexRIDE in designated areas. Some regular routes may operate roughly every 30–60 minutes, but frequency varies. Industrial worksites may not be served at the needed shift times.

HR should confirm whether the company provides a shuttle, carpool, or temporary vehicle. Employees should bring a valid government-issued foreign driver's license and any useful translation document. An International Driving Permit is not valid by itself. New Nevada residents should review Nevada DMV licensing deadlines and testing requirements.

For planning, a standard rental car may start around $500 per week, but age, insurance, taxes, fees, season, and vehicle type can change the total substantially. Temporary rental can help an employee test the commute before purchasing a car.

Open a U.S. bank account and establish payment access

Practical guidance

A U.S. checking account and debit card simplify rent, utilities, payroll, and daily purchases. Banks may request a passport, U.S. residential address, U.S. phone number, SSN or ITIN when applicable, immigration or employment documents, and an opening deposit. Requirements vary by institution and account type.

Employees may consider institutions with U.S.-China services, such as East West Bank, but should use the bank's official locator rather than assume a Reno or Sparks branch exists. Employers can help by providing a clear assignment or employment letter and by explaining payroll timing. Employees should understand checking accounts, debit cards, ACH payments, domestic wires, and cross-border transfer fees.

Arrange a U.S. mobile number early

Practical guidance

A U.S. phone number is often needed for rental applications, bank verification, utilities, employer communication, navigation, and emergencies. A prepaid SIM or eSIM can be easier during the first weeks because a postpaid plan may require additional identity, credit, or payment history.

An illustrative starting budget is about $40 per month for prepaid service and about $100 for a basic compatible smartphone. Actual pricing varies. Confirm that an employee's existing phone is unlocked and supports the U.S. carrier's network bands.

Start electricity and confirm every utility responsibility

Practical guidance

The lease should identify whether electricity, natural gas, water, sewer, trash, and internet are included, billed through management, or opened by the resident or company. Where NV Energy service is required, prepare the service address, start date, email, phone, identity-verification information, and payment method.

An employee without an SSN should contact NV Energy about its current verification process. A passport, assignment letter, or payment card alone does not guarantee approval. Northern Nevada residential customer service is 775-834-4444. Keep confirmation numbers and align the service start date with possession of the unit.

Plan for groceries and familiar food options

Practical guidance

Northern Nevada has Asian and international grocery options, but the selection is generally smaller than in the San Francisco or Los Angeles markets. Yim's Asian Supermarket in Sparks is one local option to research; employees should confirm current hours, location, and inventory before making a special trip.

Online Asian grocers such as Weee! may offer Chinese groceries, produce, meat, seafood, frozen foods, rice, noodles, sauces, snacks, and selected household items by ZIP code. In MingChi's local experience, some Reno deliveries may take approximately one week, but availability, shipping cost, and estimated delivery date must be confirmed at checkout. Fresh, frozen, and shelf-stable items may follow different delivery rules.

Practical guidance

Employees arriving from approximately November through April should be prepared for colder conditions. Needs vary by month, elevation, neighborhood, and worksite. Recommend layered clothing, a warm jacket, snow-appropriate shoes, an ice scraper, and clear information about snow removal and heating costs.

Reno city streets, higher-elevation communities, I-80, and Lake Tahoe mountain routes can experience very different conditions. Employees who drive should check tires, battery, wipers, heater, defroster, insurance, and current road restrictions. Use National Weather Service Reno and Nevada 511 before travel.

Practical guidance

Schools: Families should use Washoe County School District resources to research attendance boundaries, registration, proof of residence, immunization records, calendars, and English-learner support. A ZIP code alone does not guarantee school placement.

Healthcare: Clarify when employer coverage begins and how employees find an in-network provider. Renown Health and Northern Nevada Health System are local healthcare organizations. Primary care supports routine and continuing care; urgent care handles time-sensitive but non-life-threatening needs; emergency rooms and 911 are for serious emergencies. Eligible people without employer coverage can research Nevada Health Link.

Public resources: The Social Security Administration, Nevada DMV, Washoe County School District, Nevada Health Link, Nevada 211, and Access Nevada provide official starting points. Program eligibility depends on the individual and the specific program.
